POSITION OVERVIEW:

The Dental Billing Training Specialist (DBTS) plays a multifaceted role within the SME Program, combining workflow instruction, learner coaching, skill evaluation, and content development. This role supports virtual assistants training for dental billing and back-office roles, with a focus on teaching system fluency, billing accuracy, and claims logic. Flexibility is essential—this role supports both entry-level and experienced learners, adapts to payer updates and clinic protocols, and contributes to retraining for cancelled VAs returning through re-entry. The DBTS bridges day-to-day instruction with performance validation to help build a deployment-ready dental billing talent bench.

QUALIFICATION AND SKILLS:

  • Minimum 3 years of dental billing experience in a U.S.-based dental setting, including hands-on insurance coordination and claim workflows
  • Strong understanding of CDT codes, payer policies, denial reasons, and appeals processes
  • Prior experience training or onboarding others on dental billing systems or workflows
  • Confident in leading live training sessions, SEIs, and mock scenario walkthroughs
  • Familiarity with U.S. dental practice management software (e.g., Dentrix, Open Dental, Eaglesoft)
  • Working knowledge of tools like TalentLMS, Canva, and Salesforce
  • Experience supporting both billing and clinical coordination tasks is a strong plus
  • Familiarity with HIPAA, ledger accuracy, and audit-readiness protocols

TOP 5 NON NEGOTIABLE

  • Minimum 3 years of hands-on dental billing experience (full end-to-end process)
  • SME-level knowledge of CDT codes, EOBs, AR follow-up, appeals,  U.S. dental software and compliance standards
  • Must have supported onboarding or upskilling of VAs, front desk staff, or billing teams.
  • Ability to develop, deliver, and revise content based on VA needs and system updates
  • Clear, professional communication skills for leading group and one-on-one instruction
 

RESPONSIBILITIES:

Instruction & Training Delivery

  • Teach core billing workflows including insurance verification, CDT code usage, claim submission, EOB review, and denial handling
  • Lead live and recorded training sessions focused on payer logic, billing sequencing, documentation, and audit-readiness
  • Facilitate mock billing scenarios to strengthen learner understanding of payer rules, code matching, and submission strategy

Evaluation & Performance Assessment

  • Conduct Skills Evaluation Interviews (SEIs) to assess accuracy, billing judgment, and system familiarity
  • Track learner progress via Salesforce, TalentLMS, and billing-specific checklists
  • Lead recovery training sessions for cancelled VAs re-entering the system, based on gaps in skills or billing quality
  • Deliver structured feedback and escalate retraining needs as required

Content & Curriculum Support

  • Support development of micro-modules covering payer updates, claim denials, secondary insurance workflows, and code-specific pitfalls
  • Recommend updates based on industry trends, learner performance, and clinic needs

Learner Support & Technical Guidance

  • Respond to learner questions on CDT codes, billing sequences, payer protocols, and documentation
  • Offer practical advice on tone and accuracy in billing notes and patient-facing communication
  • Identify common misunderstandings and coordinate content updates with the SME Lead

Compliance & Documentation

  • Reinforce HIPAA compliance and billing documentation standards across all content and training simulations
  • Teach accurate claim documentation, patient ledger handling, and coordination between billing and front office notes
 

Learner Support & Technical Guidance

  • Provide practical guidance during live sessions, practice calls, or coaching threads—clarifying tone, phrasing, and task flow.
  • Address learner questions in real-time with actionable, example-based support.
  • Flag common misunderstandings and collaborate with the SME Lead to adjust training coverage where needed.

Compliance & Documentation

  • Reinforce HIPAA and patient privacy requirements across all training content, roleplays, and learner interactions.
  • Teach effective documentation practices, including call summaries, internal message handling, and audit-ready note-taking.
